When to Run a Campaign
Because there is no upfront cost and groups pay only for what they sell, the limiting factor is the selling window, not the budget. A few patterns work better than others on a campus calendar.
Early fall. Start selling once rosters settle in September and close orders by mid-October. Coffee arrives before midterms and well before campus empties for Thanksgiving, which matters because supporters need to be around to collect what they bought.
Before winter break. Close orders by mid-November for delivery in early December. This is the strongest window of the year — coffee is one of the few fundraiser products people are already buying as a gift.
Late January into February. A spring campaign funds conference travel, competitions, and equipment for the second half of the year, with enough runway to order twice if the first round goes well.
What to avoid. Finals weeks in December and May, and the summer gap when most of the campus is gone.
What a campaign is worth. At 40% of a $16–$17 bag, each bag returns $6.40 to $6.80 to the group. A twenty-person organization where each member sells ten bags moves 200 bags, or roughly $1,280 to $1,360 — enough to cover a conference registration block or a set of team equipment.

Terms That Suit a Campus Town
Coffee volume in a university town is not steady. A café on Crystal Street or Main Street can run at full pace through October and then watch demand fall off between semesters and through the summer. Most wholesale coffee programs are built for businesses with flat, year-round volume, which is why they ask for contracts and minimums.
We do not. There is no binding agreement and no minimum order, so a café can order weekly through the semester and scale back in June without renegotiating anything or paying for volume it will not use.
Ordering weekly rather than stockpiling also means coffee is not sitting through a slow August. Our roastery is 35 minutes away in Carbon County, so what is on the shelf in a slow month is as fresh as what is on it in a busy one.
How to start. Tell us what you brew on and roughly what you go through in a week, and we will send complimentary samples — whole bean or ground — for your staff to test on your existing equipment.
